Operations & Office Manager

HIVO is an Israeli enterprise AI company building the operational foundation that connects organizational systems, data, and workflows - enabling people and AI agents to work with shared business context.

We work with established enterprises across infrastructure, logistics, and real estate, with a live product, paying customers, and a growing commercial presence.

We’re looking for an organized, proactive Operations & Office Manager to keep HIVO running smoothly through our next stage of growth.

Work Model
Full-time, office-based.

The Role

  • Run the office day to day: facilities, suppliers, equipment, and a workplace people enjoy coming to.
  • Own administrative finance: invoices, payments, and expense tracking, working with our accountants and bank.
  • Support HR operations: hiring logistics, onboarding and offboarding, employee records, and benefits coordination.
  • Support the founders with calendars, travel, meetings, and customer visits.
  • Coordinate company events, team activities, and the logistics of customer and partner meetings.
  • Build simple, reliable processes and tools that keep a growing company organized.

What We’re Looking For

  • At least 3 years of experience as an office manager, operations coordinator, or in a similar role, ideally in a high-tech company.
  • Excellent organization and attention to detail, with the ability to manage many things at once.
  • A strong service orientation and excellent interpersonal skills.
  • Independence, initiative, and real ownership of your areas.
  • Confidence with modern office and SaaS tools, such as Google Workspace or Microsoft 365.
  • Discretion and sound judgment with financial and personal information.
  • Native-level Hebrew and professional English.

Experience with bookkeeping or Israeli payroll and finance processes is a significant advantage.
